1. Overview
This policy covers the AI Sales Call Coach macOS application (the “App”) and this website. Your saved app data remains on your Mac. When you choose an AI feature, the App sends only the information needed for that feature directly to OpenAI using your API key. It does not pass through a Sales Call Coach server.
2. Information the App handles
Profiles and source material
The App can use a public website, pasted text, or a document you select to create an editable business profile. Source material, profiles, goals, and preferences are stored locally.
Calls and coaching
After you start a live session, the App captures your selected microphone and meeting-app audio and sends it to OpenAI for transcription. The App does not retain raw audio from ordinary calls. Transcripts, cues, feedback, reviews, and notes are saved automatically on your Mac as part of each session.
Rehearsal and reviews
Typed rehearsal messages, relevant profile context, transcript excerpts, and saved transcripts are sent to OpenAI only when needed to produce the AI response, live cue, or review you request.
API key
Your OpenAI API key is stored as a device-only item in macOS Keychain. It is sent only to OpenAI to authenticate your requests and is never sent to the Sales Call Coach developer.
3. OpenAI processing
OpenAI is the App’s only AI provider. OpenAI states that API inputs and outputs are not used to train its models by default unless an account holder opts in. The App sets supported text requests not to store response application state. OpenAI may still retain abuse-monitoring logs containing customer content for up to 30 days by default, unless different account controls apply or longer retention is legally required.
OpenAI is required under its applicable API terms and privacy commitments to protect API customer content with protections equivalent to those described here. Provider-side handling remains subject to your OpenAI account, settings, and agreement. Review OpenAI’s API data controls and Privacy Policy. Deleting local App data does not delete information retained by OpenAI.
4. Permissions and consent
The App asks for microphone access and System Audio Recording access for live coaching. It also asks you to confirm that audio and profile context may be sent to OpenAI before a session starts. Stop the session to stop capture and uploads. You can revoke macOS permissions under System Settings → Privacy & Security.
The App uses the standard macOS file picker for imports and exports and can access only the locations you select and the access macOS grants.
5. Storage and deletion
Profiles, transcripts, coaching history, reviews, notes, and preferences remain in the App’s sandbox until you delete them or remove the App’s local data. The developer keeps no remote copy and cannot restore deleted content.
Each saved session retains a copy of the business profile used for that session. Deleting the profile from Profiles does not remove those copies; delete the related sessions from Reviews too.
- Delete a call or rehearsal from Reviews.
- Delete a business profile from Profiles.
- Remove the API key from Provider.
- Contact OpenAI for provider-side access or deletion requests.
6. Website and email
This website uses no advertising cookies, cross-site tracking, or account forms. It uses Cloudflare Web Analytics, a performance-measurement script that records page views, visits, page-load timing, Core Web Vitals, and general dimensions such as country, browser, operating system, device type, referring site, and page path. The script sends reports to /cdn-cgi/rum. Cloudflare states that this service does not use cookies or local storage, fingerprint visitors, or track individuals across websites.
Cloudflare also processes standard request information, including IP address, browser details, requested URL, time, and security signals, to deliver and protect the website.
If you email us, Cloudflare Email Routing forwards your message to Gmail. Cloudflare and Google process the message to route, store, and help us answer it. Support and privacy emails remain in Gmail until we delete them. You can ask us to delete a support or privacy conversation by emailing privacy@salescallcoach.app; we will delete it unless we need to retain it for security, legal, or record-keeping reasons. Do not send an API key or confidential call content.
7. Children and policy changes
The App is intended for professional use and is not directed to children under 13. This policy may change when the App, website, provider, or legal requirements change. The effective date above identifies the current version.
